Sales Follow-up Tracker
See which leads are overdue for a follow-up, with the message drafted — kept in your own Excel.
Columns are matched by their headings (Name, Company, Email, Stage, Last contact, Attempts, Next step, Notes, Owner), in English or Japanese. The file is read in your browser — nothing is uploaded.
How this works, and what it cannot do
Each stage has a follow-up rhythm — a new lead the next day, a sent proposal after four days, a nurture lead monthly — and the gap widens after unanswered attempts so you persist without pestering. After five unanswered attempts it drafts a polite “should I close your file?” message instead, which often gets a reply.
There is no CRM and no database: your leads live in the Excel file you download. It cannot see your inbox, so logging “I sent it” is what moves a lead on.
Private by design. This tool runs entirely in your browser. Your file is processed on your own device and is not uploaded by DO101.
About the Sales Follow-up Tracker
Keep your leads in an Excel file and open it here: each lead's stage and last-contact date decide when the next follow-up is due, overdue ones rise to the top, and a follow-up message is drafted to suit the stage — a first touch, a proposal check-in, a gentle nudge, or after five unanswered attempts a polite "should I close your file?". Log that you sent it and the dates move on. Save the file again and next time you continue where you stopped. No CRM subscription, no database, and nothing uploaded.
How to use it
- 1Open your leads spreadsheet, or start with the example or a blank lead.
- 2Check each lead's stage and last-contact date — overdue follow-ups are at the top.
- 3Open a lead's message, copy it or open it in your email app, and send it.
- 4Press "I sent it" to log today's date and the attempt.
- 5Save as Excel — open that file here next time to carry on.

Frequently asked questions
How often should I follow up with a lead?
It depends on the stage. This uses a common rhythm: a new lead the next day, a first contact after three days, a sent proposal after four, a nurture lead monthly — with the gap widening after each unanswered attempt. You can see and change each lead's stage.
Where are my leads stored?
In your own Excel file. Load it, work through your follow-ups, and save it again. A working draft is kept in this browser until you clear it, but DO101 never receives your leads.
What columns does my spreadsheet need?
A heading row with columns such as Name, Company, Email, Stage, Last contact, Attempts and Next step. Headings are matched loosely, in English or Japanese; missing columns are simply left blank.
Can it tell if a lead replied?
It cannot see your inbox. Logging "I sent it" is what moves a lead on — and if they reply, update their stage.
Why a "should I close your file" message?
After several unanswered attempts, another nudge rarely works, but a polite message saying you will stop often gets a reply — and if not, you can move on with a clear conscience.
